I just saw this today. I was in the hospital for some surgery Wednesday and returned home Friday
and today Sunday was the first day I am up and moving around.
I am working on the remaining items today and will have them to you Monday June 23.

The date required for submittals is Friday, June 20th. Apologies for the confusion. I can postpone
that to Monday, June 23rd if needed, at the very latest. However, I cannot go past that as it would not
afford enough time to write the staff report and clarify any remaining questions.
I’ve already received your survey. I need a site plan that shows the outline of where the proposed
new structure will be located. Many people use the survey and just draw the proposed building on
top of a copy of the survey in red and then label the proposed setbacks of the structure. Your
contractor for the project would likely be helpful in assisting with this specific submittal document.

Some updates:
Since the letter to Red Crown Bottleing Co. LLC has not been delivered, I resent the letter certified
to the Downtown Dwelling office address. Jill Judy previously said this would be OK. I was unable to
reschedule delivery on the USPS online redelivery site.
The survey from Brooks shows both the house and the barn structure. I will forward that to you.
I have two other drawings that show the lot and the buildings; one is a Web Map from ARdot, and
the other is hand-drawn.

The draft person will have a final elevation drawing for me by Friday, June 21.
I requested a sample of the corrugated sheet metal roofing material.
The company, McElroy Metal, acknowledged my request and said someone would contact me. I will
have to follow up on this.
I was not planning to have a sample of the board and baton. I think you said wood is preferred. I did
speak to an owner in the 1300 block of Rock Street, where several houses in the block have Hardie
board and battens.
I want to check on the price difference, as Hardie would be more durable and last longer.
I was planning to revise the scope of work document and will send you a revised document, and will
have that completed by this weekend.
I have quite a few pictures.
Can you confirm your date required, maybe Wednesday, June 25 or another date?

I received the stamped certified mail receipts in the mail. If notices were sent via certified mail to the owner addresses
identified in the list provided by the certified abstractor, you have completed all necessary public notice requirements.
I received the photo of the posted public notice sign and that will satisfy our records. No need to provide a copy.
I believe all the only outstanding submittal document is the elevation drawings for the proposed accessory structure
and a simple site plan that shows the outline and setbacks of where the accessory structure will be located (you can
use the property survey to draw the proposed structure on). Since your scope of work has changed since you provided
the attached cover letter, to reduce confusion by the Commission, you might consider providing an updated cover
letter. Will you be able to provide these by Wednesday, June 20th?

This is an update on the notices.
The three notices went to the post office on June 9.

Two show to be delivered to a person, which is for Paul Dorman-Raymond Weber and the Retired Teachers.
The third one was for Red Crown Bottling, was not delivered due to no one being at that location.
This Is Jill Judy's DowntownDwellings Business. I spoke to her in advance of sending the letter out, and she said I
could send it to the office at the Commerce address, which is in the same block as my property.
I did not do that as I thought since it does not match the certified property owner address list that would not be the
procedure you would accept.
I was unable to reschedule a second delivery via the USPS online site but it should go out one more time.
I will recheck delivery status Monday, Tuesday if necessary.
I do not know how often someone is in the Red Crown Bottling office and hope this receipt returns without further
problems.
I texted you a picture of the sign in the yard. Do you need a printed copy?
I mailed you the receipts that the post office gave me when I mailed the letters. I am not sure they meet the
requirement as listed below. You can let me know, and I will resend the letters to get the required receipt.
I do have a picture of those receipts with their numbers.
I will keep you updated on the remaining requirements that I am working on.

scheduled for July 7, 2025.
Please follow directions exactly when giving notice to all property owners through certified mail as stated in the
application packet on page 2-3. Notices must be postmarked no later than June 19, 2025. Please provide a photo of
the public notice yard sign(s) at the front of the property, visible from the public right-of-way by this date.
Please provide the following notice exhibits below to Planning & Development staff no later than Friday, June 27,
2025.
Signed and completed Notice of Public Hearing affidavit.
Green and white certified mail receipts (USPS Form 3800 proof of mailing), stamped by the Post Office, with
recipient name and address filled out.
Certified abstract list of surrounding property owners within 200 ft.
Photos of public notice yard sign(s) posted.
