HomeMy WebLinkAbout15855 1 RESOLUTION NO. 15,855 2 3 A RESOLUTION TO AUTHORIZE THE CITY MANAGER TO ENTER 4 INTO A CONTRACT WITH SHI, INC., IN THE INITIAL AMOUNT OF 5 FIVE MILLION, ONE HUNDRED TWENTY-FOUR THOUSAND, 6 NINETY-THREE AND 36/100 DOLLARS ($5,124,093.36), PLUS 7 APPLICABLE TAXES AND FEES, FOR A THREE (3)-YEAR RENEWAL 8 OF THE MICROSOFT ENTERPRISE AGREEMENT BASED UPON THE 9 CURRENT NUMBER OF DEPARTMENTAL LICENSES; AND FOR 10 OTHER PURPOSES. 11 12 WHEREAS, the City has previously entered into an agreement with SHI, Inc., to provide 237 13 Microsoft Office 365 Licenses; and, 14 WHEREAS, the majority of the City employees currently use Office 2013, which is scheduled to 15 expire in 2023;and, 16 WHEREAS, the City requests a contact with SHI, Inc., for a three (3)-year renewal of the current 17 Microsoft Enterprise Agreement to renew the existing 237 Microsoft Office 365 Licenses and to convert 18 the remaining City employees current user License to Microsoft Office 365; and, 19 WHEREAS,the renewal of licenses through connections with the Microsoft Enterprise Agreement is 20 necessary to provide timely, automated security updates and to maintain the four (4) critical software 21 products: e-mail;file shares; system management services; and share point; and, 22 WHEREAS, the three (3)-year renewal price for current users has been obtained through SHI, Inc., 23 under the State Contract No. ADSPO16-13065 for such services and allows the City's computer users to 24 continue to connect legally to all City Microsoft services with the most current version of software; and, 25 WHEREAS,to authorize the City Manager to enter into multiple Microsoft Enterprise Agreements in 26 a form and format acceptable to the City Attorney to renew the three(3)-year Agreement which will renew 27 the existing 237 Licenses and convert the remaining City employee Licenses from Office 2013 to Microsoft 28 Office 365 for a cost not to exceed Five Million, One Hundred Twenty-Four Thousand,Ninety-Three and 29 36/100 Dollars($5,124,093.36),plus applicable taxes and fees;and, 30 WHEREAS,to authorize the City Manager to approve additional expenditures of not more than Fifty 31 Thousand Dollars($50,000.00)on an as needed bases during this conversion and installation process. 32 NOW,THEREFORE,BE IT RESOLVED BY THE BOARD OF DIRECTORS OF THE CITY 33 OF LITTLE ROCK,ARKANSAS: 'Page I of 21 1 Section 1. The City Manager is authorized to enter into a three(3)-year renewal Microsoft Enterprise 2 Agreement for the renewal and conversion of Microsoft Office 365 with SHI, Inc., State Contract No. 3 ADSPO16-13065, in a form acceptable to the City Attorney, in the maximum initial contract amount of 4 Five Million, One Hundred Seventy-Four Thousand, Ninety-Three and 36/100 Dollars ($5,174,093.36), 5 plus any applicable taxes and fees,for the City's current Licensed users,which includes the additional sum 6 of Fifty Thousand Dollars($50,000.00) for additional expenditures, if any. 7 Section 2. Funds for this agreement are available in Account No. 103030-61350; and will be paid 8 from Departmental Budgets. 9 Section 3. Severability. In the event any title, section, paragraph, item, sentence, clause, phrase, or 10 word of this resolution is declared or adjudged to be invalid or unconstitutional, such declaration or 11 adjudication shall not affect the remaining portions of the resolution which shall remain in full force and 12 effect as if the portion so declared or adjudged invalid or unconstitutional were not originally a part of the 13 resolution. 14 Section 4. Repealer.
