Mr. Kovak:
I am sorry about your frustration. However, to accuse this office of not giving you a straight answer, of
not delivering the facts, and to insinuate we find this amusing, is false and unhelpful.
LaSonya Morris in particular has devoted attention to clarify to you what is required, as well as
identify labeling mistakes in your survey and an omission in your cover letter, as well as advise that
you obtain a written endorsement from the affected adjacent owner.
The Board of Adjustment hearing is October 15. Statute dictates your notices to neighbors are to be
mailed no later than ten (10) days prior to the hearing, which is October 5. We’ll email requisite forms
to you, and to the dozens of other applicants facilitated by this office, in ample time. Look for an
incoming notice to distribute to neighbors this coming week.
You are asking for our recommendation of approval to a quasi-judicial board, to enhance your
property in a way that’s otherwise not permissible. Please consider working with us in a way that
supports, rather than hinders, our collective earnest effort. Thank you.

I find this entire process very frustrating. We have yet to get a straight answer or factual information
during this entire process.
The city seems to find this amusing, while my wife and I continue to spend time and resources towards
this endeavor.
Some genuine clarity would be greatly appreciated.

Per our phone conversation with you and Tim on Friday, 11 Sep 2020:
(a) Brooks Surveying has been contacted to make the following corrections on the plat:
a. Relabel existing carport as proposed carport
b. Relabel proposed carport as existing carport
c. Delineate (at a minimum 3 ft.) setback from the wall to the carport to allow
maintenance of our new structure without having to be our on neighboring property.
d. Delineate all dimensions of the proposed carport.
(b) Sketch of the structure to be approved.
(c) Written statement of approval from neighbor who the carport will affect.
Items (a), (b), and (c) will be provided to you as soon as they are obtained.
(d) Please see attachment 1 for list of properties within 200ft.
a. Will the statement we send be the same as page 3 of 5 on attachment 2? We would like
to walk the notice and get signatures to those of our neighbors we are friends with. The
remainder we will send certified mail. Since the date has been set may we please have
the letter to start this process?

Good Morning Ms. LaSonya,
My husband and I have three questions.
1. We are going on vacation for 10 days at the beginning of Oct, so we will have to post our
variance sign before we leave. Since we need to notify our neighbors, do you have a standard
property variance letter we will be sending. If so, how will we be obtaining it, so that we may
send them? Yes, we will email the notice directly to you. The title search to accurately identify
properties within 200 feet must be created by an abstract/title company. From there, either the
company can process the notices with proof for our office or you can generate the notices and
use certified mail receipts for proof.
2. May we contact Mr. Tim to see if we need a new survey? Tim and I conducted a site visit on
Thursday of this week to your property. We have conducted a preliminary review and it has not
been determined that you need a new survey. Tim will continue the review and contact, if he
has any additional questions. We would like to know if we need to have a new survey and
exactly what needs to be depicted on the survey before the meeting, 15 Oct.
3. Are we missing anything or do we need to any additional homework for the 15 Oct meeting? So
far, we have all that we need.
