NOW, THEREFORE, BE IT ORDAINED BY THE BOARD OF DIRECTORS OF THE CITY OF LITTLE ROCK, ARKANSAS: SECTION 1: There is hereby appropriated the sum of $160,000 from the unappropriated balance of the City's General Fund for electrical system repairs to the Police and Jail Building. SECTION 2: The City Manager having complied with the provisions of Ordinance 15,221 providing for the selection of professional services, is hereby authorized to enter into a contract with Bradshaw -Clark Electric Company in an amount not to exceed $154,721 for electrical system repairs. Donham Industrial Electric the apparent low bidder submitted a letter requesting that the City accept a corrected bid or that they be allowed to withdraw if we could not allow the correction. Since allowing a company to correct their bid after the opening is illegal their only option is to be allowed to withdraw the bid which is recommended. Electrical Renovations Dear Mr. Paul: This letter is a follow -up of our telephone conversation this morning. I discussed with you this morning the error I found in my bid on the Electrical Renovations to Police & Jail Building. When bidding a job with deductive alternates, I estimate each alternate separately from the base bid. These deductive alternates are to be added to my base bid estimate for a true base bid. These alternate estimates then can be used for the deductive alternate bids. While I was preparing this bid, time was running out because I did not receive all of my switchgear quotes until after one o'clock. I made the mistake of not telling my secretary that the Base Bid, Alternate #1 and Alternate #2 should be added together before the figures were typed on the bid form. Below I have listed my figures in order that they should have been added for the Base Bid: Base w/o alternates $140,464.00 Alternate #1 17,894.00 Alternate #2 20,708.00 Base Bid should habeen: $179,066.00 If you will look at my bid as turned in, you can see that I bid $140,464.00 as my Base Bid. I request your consideration in accepting our corrected bid or letting us withdraw our proposed bid without being penalized for our error.
